The problem

Your pricing is not one price

Members pay differently to non members. Students differently again. Early birds close on a date. Speakers and sponsors come in free. A ticketing platform makes you fake all of that with a dozen near identical ticket types.

Finance needs real invoices

A proper VAT invoice with your numbering and your banking details. An EFT option, because that is how South African finance departments pay. And a payments report your accountants can reconcile without rebuilding it in a spreadsheet.

Exhibitors are a different business

They are not buying a ticket. They are buying a stand, in a specific spot on the floor, with passes and fascia signage attached, and they want to see exactly where it is before they commit any budget.

Questions

The things people ask before they enquire

What does a conference registration system cost?

Every conference is priced on what it actually needs, so there is no list price. What we can tell you is how we do not charge: no cut of your registration income, no percentage of ticket sales, and no per delegate fee that grows as your conference grows.

You get a fixed written quote before anything is built, and that is the number.

How long does it take to get running?

It depends mostly on how quickly content and pricing decisions come back to us, which is almost always the longest part of the job rather than the building.

Tell us the date you want registration to open and we will tell you honestly whether it is achievable, and what we would need from you to hit it.

Do you build the conference website too, or only the registration?

Both, and we would rather do both. As far as a delegate is concerned the website and the registration are one experience, and when two different suppliers build them the joins show.

We can also work alongside an existing site if you already have one you are happy with.

Can we use our own domain and branding?

Yes, throughout. Your domain, your logo, your colours and your wording on every page and every email. There is no Conference Up branding anywhere a delegate can see. The platform is white labelled by design, not as a paid upgrade.

Do you take a percentage of registrations?

No. Not of registrations, not of exhibitor income and not of the gala dinner. You are paying us to build and run a system, not renting a tollgate on your own revenue.

Can delegates pay by EFT and not only by card?

Yes, and in South Africa that matters more than people expect. Delegates and finance departments can pay by card or by EFT. EFT bookings receive proper payment instructions automatically and you confirm receipt in one click.

If a card is declined the delegate can switch to EFT without starting the booking again.

Does it handle member and non member pricing?

Yes, along with student, guest, speaker and any other category you use. Rates are set per delegate type rather than by duplicating the whole package, so a price change happens in one place.

Early bird rates close on the date you set, without anyone having to remember to switch them off.

Can exhibitors choose their own stand?

Yes. Exhibitors pick their stand off an interactive floor plan of your actual venue, and they only see the stands their package entitles them to. The stand number and fascia name go onto their invoice automatically.

You can reserve, block or release any stand yourself, and every change is recorded.

What about POPIA and delegate data?

Delegate data lives in your own platform rather than in a shared pool with other events. Access is role based, so your finance team and your event team each see what they need and no more.

Every notable action is written to an audit log, invitation links are encrypted and signed rather than guessable, and nothing is sold or shared onward.

What happens after the conference is over?

You keep your reports, your attendee lists and your invoices, and you can export all of it. Most organisers keep the platform running from one year to the next, because the second conference is far quicker to set up than the first.
